A safe deposit box provides an extra layer of security for valuable items that you may not feel comfortable keeping at home or at work. It is a private, individually secured container that is kept within a high-security vault or safe. Only the renter of the box can access it, and the contents inside are kept confidential.

Safe deposit boxes are commonly used to store important documents such as wills, deeds, and birth certificates, as well as jewelry, collectibles, and other valuable items. Access to the box is granted only through the use of an assigned key, facial recognition/verification, and biometric security measures.

Safe deposit boxes offer peace of mind for those who want to keep their valuables safe and secure. The annual fee for using the box is a small price to pay for the added protection and security it provides.

If you’re worried about the security of your valuable possessions, renting a safe deposit box is a smart solution. With the increasing incidence of burglaries and home invasions, it’s become more important than ever to protect your valuables. In fact, according to the Central Statistics Office, robberies have increased by 15.1% and there were 3,999 burglaries nationwide in the three months to the end of 2018.

Keeping your valuables in a safe deposit box offers an extra level of protection against theft and damage. It provides a secure location that is only accessible to the key holder, which means you can rest assured that your items are protected. Additionally, renting a safe deposit box can help to reduce your home contents insurance costs.

At our facility, we offer a range of safe deposit box options, including the Sentinel, Titan, and Colossus boxes, which vary in size to accommodate different items. Each box is located within a high-security vault and can only be accessed with an assigned key, facial recognition/verification, and biometric security.

Renting a safe deposit box is an investment in the safety and security of your valuable possessions. Don’t take any chances with your prized items – contact us today to learn more about our safe deposit box options.

When you rent a safe deposit box, you will be given two identical keys. It is crucial to inform Faxguard Vault immediately if you lose one or both keys. In such a case, you will need to schedule an appointment with Faxguard Vault and be present when a locksmith drills open your box. The cost of the locksmith and any necessary repairs will be your responsibility.

If you lose your access card, you can get a replacement card for a fee of $30, which includes VAT. It is important to note that access to your box will not be granted without the appropriate access card. In the event of losing your access card, it is recommended to inform Faxguard Vault immediately.

In the event of your death, if there is no ‘specified person’ listed on your safe deposit box account, legal processes will follow. After the estate is granted probate, the executor of the estate will be given access to the box. The person reporting your death will need to bring a certified copy of your death certificate to our office. Access to the box will only be granted for probate valuation purposes, and no items can be removed until a relevant grant of probate is presented.

Proper preparation is crucial to ensure efficient estate administration after you pass away. To avoid complications and added expenses for your estate's administrators, you should make sure your Faxguard Vault account is named and addressed in a way that will exactly match your Death Certificate. For a personal account, your account should be named with your full name. A mismatch between your Death Certificate and your Faxguard Vault account can cause difficulties and expenses for your estate's administrators.

Administration following your death

Step 1 - Notification of death

In the event of your passing, it's crucial that your estate's administrators inform us as soon as possible. We will verify the report by attempting to contact you at the email address on file in your Faxguard Vault account. Once we have confirmed the report, we will begin processing the notification of your death in good faith within 7 days.

Step 2 - Provision of documents

Upon notification of your death, your estate's administrators will be requested to provide us with the relevant documents required in the jurisdiction appropriate to your estate. Typically, your administrators will be named in your will, as well as on official documents produced after your death, and those documents will bear the seal of the official issuing body, usually a court. These documents, along with the Death Certificate, must be sent to us for processing.

Step 3 - Correct legal process

Depending on your location, nationality, and citizenship, we may contact our own lawyers at Faxguard Vault who are members of an international organization connecting lawyers across borders for deceased estate administration. If we don't already have a relationship with lawyers in the relevant country, we'll get in touch with one through this organization.

We may forward the necessary documents to our lawyers, along with our instructions for performing the necessary investigation and providing us with the authority to accept instructions from certain individuals, typically your estate's administrators, with regard to your Faxguard Vault account. Our lawyers will then check the validity and completeness of these documents in the appropriate jurisdiction.

Step 4 - Submit Change Of Ownership Form

The next step is to obtain a Grant of Probate, which is a legal document that confirms the validity of your will and authorizes the executor to administer your estate.

Once the Grant of Probate has been obtained, the executor will need to sign into your Faxguard Vault account and submit a change of ownership form, which can be found in the account settings. The new owner(s) will then need to complete the form and upload the Grant of Probate certificate. This authorizes Faxguard Vault to release the estate to the designated owner(s).

Step 5 - Identity Verification

The next step involves identity verification. To verify their identity, the new owner will need to submit a government-issued document (such as a passport or national ID) that displays their address and a photo of their face. The verification process can be found in the account settings of Faxguard Vault.

Step 6 - Clearing Outstanding Fees and Charges

The next important step is to settle any outstanding fees owed to Faxguard Vault, including storage fees. It is crucial to ensure that all payments are up-to-date to avoid any delays in processing your estate. You can access your account dashboard to see any outstanding balances.

Step 7 - Finalizing Estate Transfer and Asset Access.

Once the new owner's identity has been verified and all the necessary steps have been completed, Faxguard Vault will update your account to reflect the new owner's details. They will have full access to your estate and can manage it through their account dashboard. From there, they can request the shipment of any stored assets or make other changes to their account as needed.

Trust us to handle the administration of your estate with care and efficiency

You have the option to securely submit identity verification files to Faxguard Vault through your secured account dashboard. Your file(s) will be encrypted during transmission and then unencrypted and stored with us. To use this service, you must log into your account to create a secure encrypted connection between your computer and Faxguard Vault. Please note that the files you send are not subsequently available to you, and Faxguard Vault should not be treated as a secure vault for your data files.

  • File Types: We accept the most common image file types, and if we are unable to interpret your file(s), we will contact you.
  • Viruses: Please ensure that you do not send us a file infected with a virus, as you will be responsible for any related fees charged to your Faxguard Vault account for the cleanup.
  • File sizes: Uploaded documents may not exceed 7 megabytes each, but you may upload as many documents as you like, up to a total limit of 28 megabytes.
  • Scanning Size: The file format of your scans can make a huge difference to the size of each file. If you're using bitmap files (.bmp), try using JPEGs (.jpg) instead. They can easily be 10 times smaller for the same quality of image.
  • Scanning (quality): Please ensure your scans are high enough quality that we can clearly read all the text in the image.

Reducing the Size of Image Files

Digital cameras and scanners tend to produce high-quality image files that can be quite large in size. To reduce the size of these image files, you can save them in JPEG format (.JPG) and reduce the image quality and dimensions. You can use most paint packages, like Microsoft Paint, to do this by using the Image Stretch/Skew functions.

Please do not reduce your image size too much - or they will become illegible and unusable.

Transfer times

Please be aware of the time your transmission may take, and the impact of your type of connection. Here are some indications.

ConnectionMax effective kilobytes per secondFile sizeMinimum time
Dial up 52kbps3 Kb per second1 Meg2 to 3 Minutes
Broadband30 Kb per second1 Meg30 Secs

You should not interrupt a file upload by carrying on browsing, either on the Faxguard Vault site or anywhere else. If you click on something during a file upload your browser will break the connection to our server and your upload will fail.

The procedure

Step 1 :

Scan or digitally photograph the document(s) you wish to send us. If your scans or photographs are large, use a graphics tool to reduce their dimensions and quality.

Step 2 :
